Practice management software for Australian psychologists

You trained to sit with people.
Not with spreadsheets.

PsychRooms runs the practice around you — Medicare, notes, supervision, the AHPRA logbook — so the hour you spend at the end of the day belongs to you again. Built in Australia, by a psychologist, for one profession only.

Why PsychRooms exists

Practice management software is built for everyone at once — physios, dietitians, podiatrists, psychologists. Even the systems that began with a psychologist in the room have grown generic.

None of them know what a provisional psychologist is. None of them know what a supervisor signs off on, or what a logbook has to show the Board, or why a note that has been signed can never quietly change. None of them were built by someone who has sat in the room, lodged the claim, chased the rebate, and then opened a spreadsheet at nine o’clock at night to record their hours.

PsychRooms was. It is the only system built around the whole working life of an Australian psychologist — from the first placement, through registration, into supervision, and on to running a practice of your own. Everything in it exists because a practising psychologist needed it.

A day, not a feature list

What a Tuesday looks like

8:50

The day is already set up.

Your calendar, your rooms and your telehealth links are ready. Reminders went out on the schedule your practice chose, and two clients have already confirmed by SMS. Nobody phoned.

10:00

The session is the only thing you’re doing.

Notes take the shape you choose. When you’re ready, the AI drafts the structure from your own words — identifying details stripped first, processed in Sydney, never used to train a model — and you decide what stays. Sign it and it is locked. Not editable. Not deletable. Enforced by the database, not by a policy document.

Clinical notes →

The claim is built before the client reaches the car park.

The item number, the referral, the fee and the rebate come from the appointment itself. No re-keying, no second system, no end-of-week batch. Lodgement through Tyro Health — Medicare, bulk billing and WorkCover Victoria — is in final testing, now submitted for certification.

The assessment scores itself.

DASS-21, K10, PCL-5, GAD-7, PHQ-9 — sent to the client, scored on return, filed against the session, with published cut-offs applied where the instrument provides them.

The logbook filled itself in.

Every signed session already sits in the trainee’s logbook as DCC — the hours, never the note itself. Supervision time is there from the calendar. The supervisor reviews the week’s logbook, signs it off, and the Board-format report is one click away. Nobody opened Excel.

Built around a career, not a clinic

Whichever stage you’re at, it’s already built for you

Your first years should be about becoming a psychologist, not proving that you are one.

  • Your hours record themselves from the work you actually do.
  • Your supervisor sees your logbook live, not at the end of the month.
  • When the Board asks, the report is already in the format they want.

📓

The endorsement pathway is long enough without administering it yourself.

  • Registrar hours, supervision and professional development tracked to the AHPRA registrar program requirements.
  • In the same place as your clinical work — nothing to reconcile, nothing to transcribe.
  • Endorsement evidence accumulates as you go, not in a scramble at the end.

🎓

You agreed to develop the next generation. You did not agree to the paperwork.

  • Your whole cohort on one screen. Weekly submissions arrive ready to review; sign-offs are digital.
  • EPA evaluations and milestone reports live where the evidence is.
  • Supervision sessions have structure without you building it each time.

🤝

You built the practice to do the work. Not to become an administrator of it.

  • Every clinician has their own workspace; you see the whole operation.
  • Capacity, triage, per-practitioner billing and payroll reporting, onboarding.
  • Practice-wide AHPRA compliance you can actually see, instead of hope for.

One profession

Built for psychology. Only psychology.

Generic practice software works for physiotherapists, dietitians, podiatrists and psychologists, which is another way of saying it was designed for none of them.

PsychRooms has one profession in mind. That is why it has a logbook that understands the 5+1 pathway and the registrar program, a supervisor’s view that understands sign-off, psychometrics a psychologist would actually use, and billing that knows a Better Access session from a private one — and it is why it will never have a module for anything else.

The demo

Don’t take our word for it. Take a practice.

The PsychRooms demo is not a video or a guided tour. It is the full product, running a complete psychology practice — clinicians, a supervisor, a provisional on placement, a fortnight of appointments, signed notes, prepared claims, a half-filled logbook — and it is yours to walk around.

  • Book anything.
  • Write a note and sign it.
  • Build a Medicare claim.
  • Send a DASS-21.
  • Approve a week of logbook hours as the supervisor.
  • Break it, if you can.
Request demo access

No card. No commitment. It’s a demo.

Nothing leaves the building.

The demo practice is sealed: no SMS or email reaches a real person, no claim reaches Medicare, no data leaves Australia. Every client in it is invented.

Set up for you, by hand.

Each demo is provisioned fresh, so you get a clean practice rather than one somebody else has been rearranging. Tell us who you are and which stage you’re at, and you’ll have your login within one working day.

Built here. Kept here.

Made in Australia, for the Australian regulatory reality.

PsychRooms was designed and built by a practising Australian psychologist who needed it to exist — for the Privacy Act, the APPs, and the Psychology Board’s pathways.

Your clients’ data lives in Sydney and stays there, and that includes the AI. Clinical records and AI processing never leave Australia, clinical text has identifying details removed before any AI model sees it, and it is never used to train one. Row-level security is enforced at the database, so a clinician sees their clients and nobody else’s. Notes, once signed, cannot be altered or deleted — a rule in the database and the code, not a setting.

Secure fax via GoFax, SMS and email reminders on your practice’s schedule, and a template library are built in. Medicare, bulk billing and WorkCover Victoria claiming through Tyro Health is in final testing, now submitted for certification.
